Any events that are open to the campus community, to the entire student body, to the entire staff. This includes guest speakers, trainings, fundraisers, workshops, movie screenings, etc. When in doubt, fill out the form just to be safe.
This list will evolve as College Council sees more and more requests but for now these sorts of events do not need to go through the process:
- Fundraisers that do not coincide with an event, for example: selling shirts or goods from an office over the course of the semester.
Once you complete the form and submit it, it will go to a workgroup of people who can help make your event successful. They may also ask clarifying questions.
- In most cases, a request will go to a workgroup which will review the request and approve it. The organizer will be notified.
- In some cases, the workgroup will request additional information, in which case we will reach out to the organizer. Then the workgroup will review, approve, or move the request to College Council.
- In very rare cases, the workgroup will recommend that the request go to College Council for review and approval.
Please add as much information as possible. What goes on the form will end up on the intranet.
No. You have to do both. You can do your pre-approval and attach the facilities request to it. There is a place at the bottom of the pre-approval to access and attach the form there. An approved facilities request is not the same as an approved event.
Don't forget that you'll need to make accommodations for guests with disabilities from your advertising to your actual event!
